Accounting & Financial

Administrative
HOAMPROS is capable of managing all of the administrative needs of your community with our commitment to continuing education, knowledge of civil code, and responsive customer service. HOAMPROS schedules monthly/quarterly board meetings, coordinates and prepares meeting agendas and circulates board packets, attends and records Board Meeting minutes. We assist with governing documents, respond to owner questions, maintain all corporate documents and provide mandatory notifications to the Franchise Tax Board and the Secretary of State, prepare annual disclosures, prepare and maintain to-do lists and assign timelines to all action items, ensuring action items are completed on time and accurately. We obtain proposals for HOA projects and repairs and keep residents informed of projects within their community Additional services include appearance in small claims court and attendance at mediation or arbitration, and management consultation services.
After-Hours Community Care
HOAMPROS 24/7 emergency after-hours service ensures that someone is always available to tend to your community’s urgent needs. In cases of emergency, board members always have direct access to management, 24-hours a day, 7-days a week. During emergencies you need responsive servive and to know you can reach your community management team directly, ensuring complete around the-clock-emergency coverage.
Innovative Banking
Association banking is a critical service impacting an association’s day-to-day operations. It is vital to have a banking partner who understands the needs of Community Association banking. HOAMPROS has partnered with Heritage Bank of Commerce HOA Specialty Banking, one of the most trusted names in community association banking. Heritage Bank of Commerce understands the challenges facing association clients and customizes services to meet our clients’ needs. Heritage Bank offers a comprehensive, secure lockbox program where assessment payments are deposited directly to the association’s bank account. We are able to offer our clients valuable tools to meet their banking needs — and at no additional charge.
Board Support
Consistent follow-up and follow-through are our top priorities as we increase the transparency between board, membership and management company. We are finely tuned to provide the support that increases property values and creates a stronger sense of community. We keep the board up to date on any new association laws or changes to current laws, and make recommendations for updates to the CC&Rs, By-Laws and House Rules annually to ensure documents are compliant. We provide overall guidance to the board, ensuring board meetings and general policies and procedures are being carried out in compliance with the Davis-Stirling Act and the association’s governing documents.
Community Oversight
Regular community inspections and on-site vendor evaluations are critical to protect the value and integrity of your association, and ensure that Association vendors are meeting their contractual obligations. Non-compliance matters are not only documented in writing, they are also digitally photographed, uploaded to the respective resident’s account, and accompany violation warning letters.
Document Protection & Security
An association’s management company is responsible for storing and protecting extremely confidential and critical data. At HOAMPROS we daily backup our systems to ensure our clients’ documents and information are protected.
Escrow Services
HOAMPROS delivers accurate and responsive escrow services. Our thorough and detailed escrow process preserves the association’s interest by ensuring that any and all assessments due are collected through the escrow process, and both the buyer and seller are made aware of any non-compliance issues.
Maintenance Work Order Request Tracking
Management receives and logs all client service calls and emails, then assigns and tracks work orders sent to various vendors that service the association’s property and its amenities.
Management Company Transitions
Transitioning to a new management company can be a source of anxiety for associations. HOAMPROS has alleviated transition-related concerns by developing seamless transition processes and protocols executed by management. Our checklist protocols ensure that every step of the process is smooth and worry-free.

Vendor Relationships
HOAMPROS has developed strong relationships with the best vendors and contractors in the business. Providing a strong network of talented and pre-vetted vendors for our clients to select from mitigates many potential issues, and is a critical component of a well-managed community. HOAMPROS preferred vendors are on our reference list because they deliver extraordinary products and service to our valuable association clients.
Our policy is to solicit two to three bids based on a set of specifications for all major service contracts. In most instances, the specifications will be developed by a consultant or the manager and then reviewed by board members for final approval before being submitted to vendors for bidding. When major project work is required, we will assist the board in locating a professional consultant or project manager who is capable of preparing the bid specifications and bid package. After the bids are received, they are reviewed to assure accuracy of the bid specifications. Any clarifications or corrections are obtained prior to presentation to the board for review and selection.
